Privacy Policy

At CoachBridge ("CoachBridge," "we," "us," or "our"), your privacy is core to how we design our products. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our websites (www.coachbridge.net) and use our platform, applications, and related tools and services (collectively, the "Platform" and "Services").

If you do not agree with this Policy, please do not use the Platform or Services.

1. Scope & Who We Are

This Policy applies to personal information we process about website visitors, coaches, clients/coachees, firm/enterprise administrators, and other users who interact with the Platform and Services.

2. Information We Collect

We collect information to operate the Platform, deliver Services, secure accounts, and improve user experience. We gather data from: (a) what you provide, (b) automated means when you use the Platform, and (c) authorized third parties that support the Services.

a) Account & Profile

  • Name, email, phone, time zone, role, company/firm, credential status, coaching focus.
  • Login credentials and authentication tokens (hashed/managed by our auth provider).

b) Coaching & Collaboration

  • Session scheduling, invitations, and attendance metadata.
  • Optional session notes, reflections, action plans, uploaded files, messages, group/pod participation.
  • (If enabled) AI-assisted summaries/insights generated from your inputs; see Section 10.

c) Directory & Discovery Data

  • Certain profile fields — such as name, bio, credentials, specialties, and availability — may be visible to other users if you choose to list yourself in the CoachBridge directory.
  • You control what information is shared publicly through your profile and privacy settings.
  • CoachBridge is not responsible for how other users or third parties use publicly visible profile information once it has been viewed or shared.

d) Payments & Subscriptions

  • Billing name and address, tax details (if applicable), plan tier, transaction history.
  • Payment methods are processed by our payment processor (Stripe); we do not store full card numbers.

e) Technical & Usage Data

  • Device and browser type, OS, IP address, language, referrer/UTM, page views, feature usage, crash logs.
  • Cookies, local storage, and similar technologies (see Section 8).
  • Security-related events (e.g., login attempts, token refresh, consent logs).

f) Communications & Preferences

  • Marketing opt-ins, notification settings, interaction with emails or in-app messages.
  • Support requests and feedback.

g) Optional AI & Analytics Signals

  • De-identified or aggregated patterns used to improve Services and model performance (see Section 10). We do not sell personal data or use coaching content for advertising.

Some areas allow you to post or share information with others in your workspace or publicly. Information shared with other users may be copied, saved, or redistributed beyond our control. Only share what you are comfortable sharing.

3. How We Use Information

  • Provide and maintain the Services (account creation, authentication, scheduling, notes, content, communities/pods).
  • Support coaching workflows (reflection prompts, goal tracking, habit nudges).
  • Process payments and manage subscriptions.
  • Communicate with you (service messages, product updates, support).
  • Improve and develop features through analytics, research, and testing.
  • Secure the Platform (fraud prevention, abuse detection, incident response).
  • Comply with legal obligations and enforce our Terms of Use.
  • (If enabled) Provide AI-assisted features such as drafts/summaries and pattern insights (see Section 10).
  • Any purpose disclosed at collection or with your consent.

We may aggregate or de-identify information so it can no longer identify you and use that data to improve Services, conduct research, and generate insights.

4. Legal Bases (EEA/UK)

  • Contract: To deliver the Services you request.
  • Legitimate Interests: To secure, improve, and operate the Platform in ways that do not override your rights.
  • Consent: For certain marketing, cookies, or optional AI analytics where consent is required.
  • Legal Obligation: To meet recordkeeping, tax, and compliance requirements.

5. How We Share Information

We do not sell personal information and do not share it for cross-context behavioral advertising. We disclose personal information only as needed:

  • Service Providers: Trusted vendors supporting hosting, infrastructure, authentication, payments, analytics, communications, and customer support—bound by confidentiality and data protection commitments.
  • Organizational Admins: If you use CoachBridge under a firm or enterprise account, certain profile and usage signals may be visible to authorized admins (never your private session content, unless you choose to share it). When organizations use CoachBridge, they may act as data controllers for their users' data; CoachBridge acts as a data processor in those contexts.
  • Legal/Safety: To comply with law, legal process, or protect rights, property, and safety of users and the Platform.
  • Business Transfers: In a merger, acquisition, or reorganization, data may transfer to a successor under similar protections.
  • With Your Direction or Consent: When you connect third-party tools or ask us to share information.

Data visibility depends on your role (coach, client, administrator) and your sharing settings. CoachBridge does not monitor, evaluate, or supervise coaching interactions or content between users.

6. Data Retention

We keep personal information only as long as necessary for the purposes described in this Policy, including to provide the Services, comply with our legal obligations, resolve disputes, and enforce agreements. When no longer needed, we will delete or de-identify information.

  • Account data: Retained for the duration of your active account, plus a reasonable period (typically up to 2 years) following inactivity or account closure to support dispute resolution and legal obligations.
  • Support & communications data: Generally retained for up to 3 years from the date of the interaction.
  • Analytics data: De-identified or aggregated after approximately 18 months; raw usage signals are not retained indefinitely.

7. Children's Privacy

The Services are not intended for children under 18. We do not knowingly collect personal information from children under 18. If you believe a child provided information, contact us and we will delete it.

8. Cookies & Similar Technologies

We use cookies, local storage, pixels, and similar technologies. These fall into three categories:

  • Essential: Required for the Platform to function — keeping you signed in, securing your session, and preventing fraud.
  • Functional: Remember your preferences, settings, and improve feature behavior across sessions.
  • Analytics: Understand usage in the aggregate to improve Platform performance and identify issues.

You can manage cookies in your browser settings. Some features may not function without them. We honor Global Privacy Control (GPC) signals as opt-out requests where required by law.

9. Marketing & Communication Preferences

We send marketing communications only with your opt-in (where required). You may unsubscribe at any time via links in our emails or by adjusting your in-app settings. We do not use coaching notes or session content for marketing.

CoachBridge does not monitor, evaluate, or supervise coaching interactions or content between users. This reinforces our role as a platform and infrastructure provider, not a service provider or supervisor of coaching engagements.

10. AI, Insights & Data Ethics

CoachBridge integrates AI-assisted features to support preparation, reflection, and measurement—not to replace human connection.

  • Design Principles: Human-centered, ethics-aligned, privacy-first.
  • Content Handling: If enabled, AI features may process content you choose to submit to generate drafts, summaries, or insights. AI outputs are generated from user-provided inputs and do not reflect independent assessments by CoachBridge.
  • User Direction: AI may process coaching-related content at your direction only. We do not use identifiable coaching data to train models without your consent.
  • De-identification: We aim to use de-identified and/or aggregated data for analytics and model improvement whenever feasible.
  • No Advertising Use: We do not sell data or use coaching content for advertising.
  • Controls: You can opt out of AI-related analytics where required or disable certain AI features in settings.

11. Your Privacy Rights

Depending on where you live, you may have rights such as:

  • Access/Know the personal information we hold about you.
  • Correct/Rectify inaccurate data.
  • Delete/Erase your information.
  • Portability of certain data.
  • Restrict/Object to certain processing.
  • Withdraw Consent where processing is based on consent.
  • Appeal a denied request (certain U.S. states).

To exercise rights, contact us with the subject "Privacy Request." EEA/UK users may also lodge a complaint with your local supervisory authority.

12. Accessing & Managing Your Information

Most profile and preference data can be reviewed and updated in your account settings. You may also request corrections or deletion by contacting us. We may retain certain information as required by law or for legitimate business purposes.

13. Third-Party Links & Integrations

The Services may link to third-party sites or allow optional integrations (e.g., calendars, communication tools). Those services are governed by their own privacy policies. We are not responsible for their practices.

14. International Data Transfers

We are headquartered in the United States and may process information in the U.S. and other countries. Where required, we use appropriate safeguards for cross-border transfers (e.g., Standard Contractual Clauses).

15. Security

We implement administrative, technical, and physical safeguards designed to protect personal information (for example, encryption in transit, access controls, and monitoring). No system is 100% secure; you are responsible for maintaining the confidentiality of your account credentials.

16. Coaching, Health & Sensitive Information

CoachBridge is not a medical provider and is not a HIPAA Covered Entity. The Platform is designed for coaching, not therapy or medical care. Do not submit protected health information (PHI) unless expressly requested under a separate, applicable agreement.

  • Coaching content may include personal, behavioral, or reflective information. Users should exercise care about the sensitivity of information they share within the Platform.
  • Users should avoid sharing highly sensitive personal, medical, financial, or crisis-related information through the Platform.
  • The Platform is not designed for emergency support. If you or someone you know is in crisis, please contact emergency services or a licensed mental health professional.
  • CoachBridge does not conduct background checks on users unless explicitly stated.

17. Changes to This Policy

We may update this Policy from time to time. We will post the updated version and revise the "Last Updated" date. If changes materially affect your rights, we will provide additional notice (e.g., email or in-app). Your continued use of the Services after an update constitutes acceptance.

U.S. State-Specific Disclosures

Residents of California, Colorado, Connecticut, Utah, Virginia, and other states with consumer privacy laws may have additional rights, including the right to confirm processing; access, correct, delete; data portability; opt out of sales or sharing for cross-context behavioral advertising; and appeal a denied request.

We do not sell personal information or share it for cross-context behavioral advertising. To exercise state rights, email us with "State Privacy Request" in the subject.

EEA/UK Disclosures
